A website enquiry arrives while everyone is busy. One colleague assumes another will reply. A few days later, the customer calls and the team has to search for the original message.
The problem may not be the number of enquiries. It may be that nobody can see what happens after each one arrives.
Give each enquiry an owner
Agree who is responsible for the first response and what happens when that person is unavailable. A shared inbox can help people see messages, but visibility alone does not tell them who should act.
Record an owner, the next action and when it should happen. Keep this information somewhere the relevant team can access, rather than in one person's memory.
Use a few clear stages
Start with stages that reflect real work: new enquiry, waiting for customer information, consultation booked, quotation being prepared and closed.
Avoid adding more stages than the team can maintain. Each should explain what has happened and what needs to happen next.
A prospect who is waiting for a call is different from one who has decided not to proceed. Recording that distinction makes follow-up more useful.
Make the handover visible
Imagine a consulting business passing an enquiry from its office coordinator to a specialist. The specialist needs the customer's requirement, relevant background and any promises already made. This is an illustrative example.
A handover should include those details and a clear acceptance of responsibility. Forwarding an email alone may leave the owner of the next step unclear.
Automate reminders carefully
A system can flag enquiries without a next step or remind the responsible person when an agreed action is due. It should also stop reminders when the enquiry is closed or the customer has responded.
Check how duplicates are handled when the same person contacts you by phone and email. Creating several separate records can lead to repeated calls.
Review a small set of recent enquiries together. Can you tell who handled each one, what happened and whether a next step remains? Those answers will show where a clearer process or better software could help.
